4 – Data Processing in Detail
4.1. When Personal Data is Collected and Processed
We collect and process your personal data in connection with the purchase, installation, and use of the Sentinare sensor, the Sentinare mobile application, the AltumView platform, and any related services provided by AltumView.
4.2. Types of Personal Data Processed
The types of personal data we process for each category of data subjects (such as end users of the Sentinare sensor, Sentinare account administrators, or secondary users), including the purposes, methods, and legal bases for processing are described in detail in this Section. Specific purposes, legal bases, and processing methods are further described in Sections 4.3 and 4.4.
(i) The end user of the Sentinare sensor (e.g. resident, care recipient, facility staff member, family member, visitors or otherwise):
- Type of personal data:
- Setting up a person profile for a person is optional, but will extend the capabilities of the Sentinare sensor. This is the data we process when setting up a person profile on the Sentinare mobile application or AltumView platform:
- Identification details and personal characteristics: name, date of birth, gender, phone number, address, postal code, person group category;
- Identification details of emergency contacts for convenient access from Sentinare account administrator or secondary users in case of a fall or other emergency detected: name, phone number, relation;
- Health data (Special Category Data) of you as an end user or resident, for convenient access by the Sentinare account administrator with access to your data (such as facility staff or your trusted contact):
- Height, weight, medical conditions, blood type, allergies
- Fall risk assessment results
- Face image data (Special Category Data) of you for the purposes of facial recognition. By providing face image data for facial recognition, you extend Sentinare to be able to link alert events it detects to you when recognized. For example, when the Sentinare sensor detects that you have fallen, the push notification and alert data received by the Sentinare account (of the Care Facility, family member, or trusted contact) will contain your name. Facial recognition also enables the Sentinare sensor to track your physical activity, link captured stick figure recordings and streaming to you when recognized, track your visits, and customize alerts to trigger for specific groups of people.
- Regarding your use of the Sentinare sensor:
- Your body movement and location within a room as stick figure data, meaning that the Sentinare sensor records and streams the room location of 18 points of your body, as opposed to video recordings.
- Data regarding alerts or incidents (e.g., falls), such as the type of alert or event, stick figure recording, and alert history.
- Your physical activity data such as the time spent sitting, standing, lying, sitting in chair, sitting on floor, and struggling.
- Your visitation data, which logs the time of arrival and departure when sensors are configured to track entry and/or exits.
- Image recordings (optional) of you during or alert detection by the Sentinare sensor or shortly after the alert, for improved alert response and improved alert detection performance of the Sentinare system fall detection. Any furniture, other people, photographs, devices such as a TV, sports equipment or other materials or goods that are within the range of the Sentinare sensor’s optical sensor may be included in the image. Further processing details are in Section 4.6.
- Sound data captured by the Sentinare sensor for 2 way voice call between the Sentinare sensor and a user on the Sentinare mobile application or AltumView platform (such as a care facility employee or family member). Further processing details are in Section 4.6.
- Video recordings (optional) in cases where a Sentinare account has access to capture local video recordings from Sentinare sensors. When enabled, video recordings are captured and stored locally on an SD card directly inserted to the Sentinare sensor. These video recordings are not transmitted to AltumView servers in any way. Further processing details are in Section 4.6.
- Setting up a person profile for a person is optional, but will extend the capabilities of the Sentinare sensor. This is the data we process when setting up a person profile on the Sentinare mobile application or AltumView platform:
- Purposes: your use of the Sentinare sensor (further explanation: see Article 4.3 below).
- Legal basis / legal ground: Consent, the preparation and/or performance of the (usage) contract with you (if you contract directly with AltumView), legitimate interests (further explanation: see Article 4.3 below).
- Method of collection: directly from you, through the Sentinare sensor, or indirectly through the Care Facility (further explanation: see Article 4.4 below).
(ii) Administrator (group account owner) and secondary users of the Sentinare account such as Care Facility employees, family members, legal guardians, or healthcare provider.
- Type of personal data:
- Login credentials to gain access to the Sentinare mobile application or AltumView platforms (such as email address and password);
- Contact information when setting up the Sentinare account through the Sentinare mobile application or AltumView platform, such as your name and email address.
- Security data on device sessions while accessing a Sentinare account, such as IP address and device description.
- Essential cookies that are required for purely technical reasons in order for the AltumView platform to function correctly;
- If you use the Sentinare application on your mobile device, you can choose to share your location data. This is necessary for Bluetooth connection to the Sentinare sensor for set up and operating functions such as connecting it to the Wi-Fi network, or calibrating the Sentinare sensor.
4.3. Purposes and Contexts of Processing Personal Data
When AltumView processes your data in relation to “your use of the Sentinare sensor” as referenced in Section 4.2, this refers to the use of the Sentinare sensor, the Sentinare mobile application, the AltumView platform, and our services. The use of the Sentinare sensor may be from the end user (the care recipient, resident, or person in need of care), Sentinare account administrators, secondary users (such as family members, legal guardians, care facility staff, or caregivers), and the Care Facility. This processing is for the purposes outlined below.
The Sentinare sensor and its data processing activities are designed for the care of seniors and vulnerable adults. AltumView aims to help them live and age safely with remote monitoring, fall detection, emergency event detection, and private stick-figure monitoring all at the same time. The Sentinare sensor is intended to support those who live independently, or residents of a Care Facility in the context of fall detection and event detection (absence detection, overstay detection, restricted region detection, seeking help detection etc.). By detecting these events and notifying somebody like a family member, legal guardian, or Care Facility staff, the Sentinare sensor can enable faster response time and prevent injuries from worsening. The Sentinare sensor also supports family members, legal guardians, caregivers, or a Care Facility in caring for a senior. AltumView does this by providing stick figure streaming for live monitoring and stick figure recording data to give insight on how to prevent falls, as well as notifications when an emergency event is detected. Care Facilties may use activity detection to better understand the residents physical health trends, and aim to make improvements. Care Facilities may use emergency event notifications to improve the response time and make the Care Facility safer.
In short, the care and monitoring of the end user of Sentinare sensors through fall detection, fall prevention, emergency event detection, and activity detection are the primary purposes of processing personal data.
We process your personal data to deliver our services, grant you access to the Sentinare sensor and the AltumView platform, and create accounts and profiles for you. Through the Sentinare mobile app and the AltumView platform, we may send updates and status notifications, confirmation emails, welcome messages, push notifications, and other emails related to your use of the Sentinare sensor and the AltumView platform.
Additionally, we may process your Sentinare account identification details to contact you, address any questions or concerns you may have, and provide you with important information about the Sentinare sensor, the AltumView platform, our services, our website, or other relevant information related to our activities or offerings.
Your personal data as a business customer or Care Facility is processed for purposes related to customer support/help desk, management of customer records and users, payments, administration, invoicing, solvency monitoring, and accounting activities.
If you have a direct agreement with AltumView as a Sentinare account user or Care Facility, most of the personal data processing described in Section 4.2 is based either on the preparation and/or execution of a contract with you to provide the services described in the contract. If you do not have a direct contract with AltumView, such as in the case of visitors or care facility staff members, then the processing is based on our legitimate interests in the context of our cooperation with the Sentinare account administrator to continue to provide fall detection and monitoring services, to the extent that these interests outweigh your privacy rights or interests.
We will ask for explicit consent for specific data processing activities regarding special category personal data through the Sentinare mobile application and the AltumView platform. This includes the processing of health data, facial image data for facial recognition, or other sensitive data. You or your legal guardian may give consent within the Sentinare mobile application or AltumView platform before you create a person profile. If AltumView acts only as a “data processor” on behalf of the Care Facility, the Care Facility will be responsible for obtaining consent, or rely on another legal basis under data protection laws for processing your personal data, and confirm this to us before creating person profiles within the Sentinare mobile application or AltumView platform.
When processing health data and face image data, AltumView has identified the specific individuals within the organization who have access to this data, outlining their roles and responsibilities related to the processing. AltumView ensures that these designated individuals are legally, statutorily, or contractually obligated to maintain the confidentiality of the data.
When AltumView relies on its legitimate interests, this primarily includes ensuring the care of the user and related purposes (as outlined above), as well as providing and delivering AltumView services that meet your needs. Additionally, AltumView may pursue other legitimate interests, provided they are permitted by applicable law. These may include complying with legal requirements, fulfilling requests from supervisory authorities, optimizing and enhancing our services (as outlined below), supporting our activities, generating aggregated statistics, conducting market analysis, building and maintaining relationships with Care Facilities, direct marketing (see below), evaluating and improving our business processes, monitoring our services, preventing fraud or misuse of AltumView, ensuring good governance, managing risks, protecting our business, stakeholders, employees, and customers, securing networks and information, training and supervising employees, enforcing our policies and procedures, and pursuing legal claims in any disputes involving AltumView. Whenever we invoke our legitimate interests, we carefully balance these against your privacy rights to ensure your interests are protected.
We may use your personal data in order to enhance the Sentinare sensor, platform, and our services. This processing is based on our legitimate interests, which may outweigh your privacy rights. Where possible, we will anonymize your data. For instance, we may examine your interactions with the Sentinare sensor and AltumView platform, including your usage patterns, to better understand how you engage with the service and which features you prefer, all with the goal of improving your experience and optimizing our offerings.
We may use your contact information (such as your name and email address) for direct marketing purposes. This includes sending you updates about AltumView, our products and services, or other content that may be relevant or useful to you, such as through newsletters, emails, or other channels. If you are an existing AltumView customer or user, we will do this based on our legitimate business interests (provided these interests outweigh your privacy rights). If you are not a customer or user of AltumView, we will only send you marketing communications with your prior consent (e.g., by creating a Sentinare account on our app or AltumView platform). Your consent is voluntary and can be withdrawn at any time.
4.4. Collection Methods of Personal Data
Some data is automatically generated by the Sentinare sensor during its use including emergency event data when an alert is triggered, your movement data recorded and streamed as an 18-point stick figure, activity data, visitation data, and more. The data generated depends on the specific features of the Sentinare sensor you have activated, and it is only processed when the sensor detects something relevant, either regarding your data or that of others, for the purposes described above.
AltumView collects some of your data directly from you when you provide it, such as when you purchase or install the Sentinare sensor, sign up on the AltumView platform or Sentinare mobile application, contact AltumView, create your own person profile, or share it with us as a Care Facility through the AltumView platform or Sentinare mobile application.
AltumView may also receive certain data indirectly, such as through a legal guardian (e.g., if you are unable or unwilling to provide the data yourself), through your caregiver, healthcare provider, or Care Facility that enters your data on the Sentinare mobile application or AltumView platform, but only for the purposes described above.
4.5 Image, Video, and Sound Recordings and Processing
AltumView is committed to protecting user privacy while enhancing safety and efficiency. The Sentinare sensor primarily records and transmits 18 point Stick Figure data (described in Section 4.2) for monitoring and alert detection purposes. However, the Sentinare sensor records real images, video, and sound data in these limited cases:
- Image Data:
- Calibration Image: A real image of the room is captured by the Sentinare sensor, transmitted, and stored on AltumView servers. The image is also sent to the Sentinare mobile application and AltumView platform to be displayed as the background image of the room for Stick Figure streaming and Stick Figure recordings (including alert recordings). The purpose is for care givers, care facility staff, your trusted contacts or family members to have a reference of where the Stick Figure occupies the room during Stick Figure streaming and recordings. Calibration is performed by a user of the Sentinare account, and it is intended that no people are present in image.
- Incident Snapshots (optional): When remote calibration over Wi-Fi is enabled for a Sentinare sensor, it also enables the ability for a Sentinare account user to command the Sentinare sensor to take a snapshot image of the room for a short period of time after an alert is detected by that sensor. This image is transmitted from the Sentinare sensor to the Sentinare mobile application or AltumView platform instance that triggered the snapshot. It’s purpose is for Sentinare account users such as care givers, Care Facility staff, trusted contacts or family members to assess the situation following an alert detection event. This image may contain you or any other people in the room of the Sentinare sensor and be shared with the Sentinare account user that triggered the snapshot. These images are never stored on AltumView servers or accessible by AltumView, and they are deleted from the Sentinare mobile application or AltumView platform upon the user closing the image.
- Advanced Alert Detection Images (optional): Sentinare sensors can optionally be enabled to capture images of the scene when it detects an alert event, and send the images to AltumView servers. A large AI model will assess the image to determine if the alert is likely to be true or not. The purpose for this processing is to increase the performance and accuracy of AltumView’s alert detection. The image is encrypted during the transmission from the sensor to the server, and deleted by the server immediately after processing. It will not be sent to the Sentinare mobile application or AltumView platform. AltumView does not store these images after their assessment, or use them for any other purpose.
- Video Data:
- Local Video Recording (Optional): Some Sentinare accounts, such as those of Care Facilities, may request access to a feature where the Sentinare sensor can record continuous video data that the sensor captures. This video data recorded and stored on an SD card local to the Sentinare sensor, and is not transmitted to AltumView or stored on its servers in any way. The purposes of this processing is for the Care Facility, healthcare provider or otherwise to review video recorded footage for fall prevention purposes of its residents, and/or legal obligations.
- Sound Data:
- 2-Way Voice Call: Sentinare sensors contain a microphone and a speaker, which allows Sentinare users on the Sentinare mobile application or AltumView platform to initiate a voice call (via VoIP) with the Sentinare sensor. Sound data recorded by the Sentinare sensor is transmitted to the instance of the Sentinare mobile application (or AltumView platform) that initiated the voice call for playback during a voice call. Similarly, sound data recorded by the Sentinare mobile application (or AltumView platform) is recorded and transmitted to the Sentinare sensor for playback during a voice call. The purpose of processing sound data is for care givers, family members, Care Facility staff, or trusted contacts to be able to contact the end user of Sentinare sensors, especially after an alert is received. Sound data is not stored in AltumView servers.
5- With whom will your data be shared?
5.1 Your Sentinare Group Account Users
If you are an end user of the Sentinare sensor, your data can be viewed and managed in the Sentinare mobile application and AltumView platform through the Sentinare account that contains your sensors and personal data. Your data will be shared with anybody who can access this Sentinare account, which may be yourself, a legal guardian, a family member, a care giver, Care Facility staff, or otherwise.
The Sentinare group account owner (administrator) may optionally invite secondary users to have access, creating a trusted group of people that can view and manage the data within the Sentinare account for monitoring and alert purposes as described in Section 4.3.
If you are an end user and resident of a Care Facility, your data will also be exchanged with the Care Facility and with the designated healthcare provider or employee. The Care Facility as a Sentinare account administrator has access to all of your data via the Sentinare mobile application and AltumView platform. The Sentinare account administrator of the Care Facility may also invite secondary users, such as Care Facility staff, to have access to your data.
5.2 Sub-processors
Some of your data may also be processed by our partners, service providers, or suppliers in relation to the use of the Sentinare sensor, the Sentinare mobile application, the AltumView platform, and our services. This includes entities such as our cloud provider, push notification service providers, email escalation services, software vendors, payment service providers, or other partners and service providers associated with AltumView. They receive the necessary personal data required to deliver the services they provide to AltumView in connection with the Sentinare sensor, the Sentinare mobile application, and the AltumView platform.
AltumView enters into data processing agreements with its sub-processors to ensure that it is working with appropriate service providers who securely process personal data on AltumView’s behalf. AltumView will ensure that, along with its sub-processors and partners, it takes the necessary steps to integrate data protection and information security principles into the Sentinare sensor, the Sentinare mobile application, the AltumView platform, and AltumView’s services
5.3 Business Functions
Other companies may also process your data as part of our business operations, including but not limited to our accountants, auditors, company inspectors, insurance brokers, insurers, legal advisors, attorneys, or other service providers, as necessary to fulfill their duties or provide assistance.
5.4. Employees of AltumView
Only authorized employees or appointees of AltumView have access to your personal data processed through the Sentinare sensor. They are granted access solely to the data necessary for the provision of our services, such as during critical service interruption. These individuals are required to maintain strict confidentiality regarding this personal data
5.5 International Data Transfers
AltumView hosts servers and stores data in four different regions. Canada, United States, China, and Europe. It is important that you create a Sentinare account in the region most appropriate for your data. By creating a Sentinare account in one of these selected regions, you are acknowledging that the data will be stored in the region which you select.
For Sentinare accounts hosted on the European region, AltumView ensures that your personal data is hosted and stored in the European Economic Area (EEA) or European Union (EU). If AltumView contracts with service providers located outside the EEA/EU, it ensures that the data is hosted within the EEA/EU, or has proper safeguards in place like Standard Contractual Clauses to comply with GDPR. If certain personal data is nevertheless transferred from AltumView outside the EEA/EU, AltumView will provide all appropriate safeguards and measures so that the transfer is in accordance with the applicable data protection regulation.
5.6 Legal Obligations
AltumView may be obligated by law, or in response to a request from government agencies, supervisory authorities, or courts to disclose your information to them or to a third party.
6 – How long do we keep your data?
AltumView will not process or retain your data for longer than necessary to fulfill the purposes outlined in Section 4, unless specific legal requirements dictate otherwise. Certain data may have defined retention periods. In any case, we adhere to the principle of retaining your data only for as long as necessary.
As an AltumView user, your data will generally be processed only for the duration of your use of the Sentinare sensor, your Sentinare account through the Sentinare mobile app or AltumView platform, or the length of your agreement with AltumView. However, we may retain certain data for up to 10 years after the contract ends if necessary for the defense of our rights or interests in a dispute.
6.1 Person Profile Data
Personal data, face image data, and health data associated with a person profile within a Sentinare account are retained until any of these deletion actions happen by a Sentinare account user:
- The data pieces are deleted individually
- The person profile is deleted
- The entire Sentinare account is deleted (all people and their associated data is deleted)
Any of the above described deletion mechanisms through the Sentinare mobile application or AltumView platform will delete person profile data from AltumView.
6.2 Incident Snapshot Image
Incident snapshot images captured by the Sentinare sensor as described in Section 4.5 are never stored on AltumView servers or accessible by AltumView. They are deleted from the Sentinare sensor after transmission to the Sentinare account. They are deleted from the Sentinare mobile application or AltumView platform upon the Setinare account user closing the image.
6.3 Advanced Alert Detection Images
Advanced Alert Detection Images captured by the Sentinare sensor as described in Section 4.5 are transmitted to AltumView servers for a fast assessment by a large model AI, and then promptly deleted after assessment. Most images are deleted within 20 seconds of capture by the Sentinare sensor. AltumView does not store these images after it’s assessment.
6.4 Sound Data from Voice Call
The Sentinare sensor, the Sentinare mobile application, and the AltumView platform, do not store any voice and audio recordings after the call is completed. Voice and audio recordings from voice calls are never stored on AltumView servers.
6.5 Local Video Recordings
The Sentinare sensor can capture and store video recordings to a local SD card as described in Section 4.5. If the SD card is full, new recordings captured will overwrite old recordings. These recordings are stored on the SD card as long as the Sentinare user allows, even after the Sentinare account is deleted. This means that if you choose to delete your account, any video recordings stored on the SD card will remain until you manually delete them. All video data is stored and retained locally in the SD card. We do not store any video data in our servers, and we cannot access these recordings.
You can manage the data at any time by accessing the SD card with your own computer. The recordings are not automatically deleted unless they are overwritten or you take action to remove them.
6.5 Personal Data for Marketing Purposes
Personal data processed by AltumView in relation to direct marketing, such as the name and email associated with the Sentinare account, will be kept for a maximum of 5 years after the last contact with the customer or prospect in question.
6.6 Stick Figure Recordings and Alert Data
Stick figure recordings (including alert stick figure recordings), and alert data may be kept for up to 10 years after the contract ends, if necessary for the defense of our rights or interests in a dispute.
6.7 Retention when AltumView is Data Processor
When AltumView acts as a data processor for the Care Facility, the duration of personal data processing, along with the return and/or erasure of the data at the conclusion of the cooperation, will be governed by the data processing agreement between AltumView and the customer.
7 – If I am a resident of the European Union, what are my rights?
